Marketing Assistant

Contract period: 4 May – 30 October
Working hours: 08:30 – 16:30 | Monday – Friday

The Marketing Assistant provides day-to-day support to the Toyota Stellenbosch Woordfees’ Marketing team. This is a hands-on, practical role suited to someone who is organised, eager to learn, and comfortable with working both behind the scenes and on the ground during the festival.

The role focuses on assisting with content updates, marketing material preparation, administrative coordination, and general marketing support in the lead-up to and during the festival.

MAIN TASKS

Website & Digital Programme Support

  • Upload and update event information on the Toyota Stellenbosch Woordfees website
  • Add and format event descriptions, images, venues, and dates
  • Resize images for website and ticketing use
  • Check that programme information is correct and up to date
  • Assist with uploading accommodation partners onto the website
  • Help create and organise online image galleries
  • Update external event listings where required


Marketing Materials & Advertising Support

  • Assist with preparing content for posters, flyers, banners, and advertisements
  • Insert correct event information into artwork templates
  • Prepare images and graphics for print and digital use
  • Help coordinate printing and production with suppliers
  • Assist with placing and tracking marketing materials before the festival


Festival Guide Support

  • Help manage the list of festival guide drop-off points
  • Contact distribution points to confirm deliveries
  • Assist with packaging and distributing festival guides
  • Load and manage way-bills for festival guide distribution
  • Help track festival guide stock levels


Ticket Sales, Events & Activations

  • Assist with promotional activities aimed at increasing ticket sales
  • Help set up and support marketing activations and festival events
  • Upload festival and sponsor content onto venue screens
  • Represent the festival in a friendly and professional manner during activations


Loyalty Programme & Databases

  • Assist with marketing the Stellenbosch Woordfees Loyalty Programme
  • Help update and maintain marketing databases
  • Support outreach to book clubs and community groups
  • Assist with preparing PR drops and goodie bags


Communication & Enquiries

  • Assist with drafting basic marketing copy
  • Help manage the enquiries inbox and respond professionally
  • Source information internally when unsure of how to respond
  • Help with proofreading and quality control of communication


Social Media Support

  • Capture weekly social media performance statistics for reporting purposes
  • Assist with competitions and online campaigns


Image & Content Management

  • Collect and resize photos and graphics for digital use
  • Help organise and archive image files
  • Assist with coordinating photographers during the festival


On-the-ground Support

  • Assist with the installation of posters, marketing materials, and PVC banners
  • Assist with vinyl applications
  • Provide general support during festival setup and operational periods


General Administrative Support

  • Provide general administrative assistance to the Marketing team
  • Assist with preparing presentations and documents
  • Help manage marketing-related logistics
  • Assist with ad-hoc tasks during busy periods
  • Source supplier quotes and rate cards


Post-festival Tasks

  • Support the compilation of internal, sponsor, and marketing reports
  • Assist with archiving marketing materials, assets, and analytics
  • Participate in post-festival wrap-up tasks, debriefs, and documentation


Required Skills & Qualifications

  • A completed degree or diploma in Marketing, Communication, or a related field
  • Between 1 to 2 years of relevant marketing, communication, or events experience (internships included)
  • Good writing and communication skills
  • Strong attention to detail
  • Organised and able to follow processes
  • Comfortable with working on digital platforms
  • Friendly and professional communication style
  • Willing to work flexible hours
  • Basic Canva skills
  • Own laptop required
  • WordPress experience beneficial, but not required

Public Relations (PR) Assistant

Contract period: 4 May – 30 October
Working hours: 08:30 – 16:30 | Monday – Friday
Workplace: Erfurthuis, 37 Ryneveld Street, Stellenbosch

The PR Assistant supports the PR team in planning, coordinating, and executing publicity and communication drives, both leading up to and during the Festival. This role combines administrative, logistical, and creative tasks, requiring organisational, communication, digital, and writing skills.

At entry-level, this role is ideal for a recent graduate or student with a flexible academic schedule, looking to gain hands-on experience in corporate communication, media networking, and digital platforms.

MAIN TASKS

  • Assist in preparing multi-media materials for communication drives:
    • Brief social media and marketing teams on required multi-media elements for press releases, website blogs, and newsletters as prepared by the PR team
    • Assist PR Officer in uploading news blogs on the website
  • Assist PR team with media enquiries
    • Assist with sharing press releases as prepared by PR Officer
    • Assist with sharing audio-visual material as prepared by Social Media and Marketing Team with media
    • Assist with sharing contact information for interviews with media
  • Assist Marketing team:
    • Assist with proofreading digital social media copy and write copy when requested
    • Assist with the scheduling of MC’s for concerts at the Jan Marais Nature Reserve during the Festival (3 to 11 October 2026).
  • Assist PR Officer in facilitating media accreditation:
    • Assist with the logging of media ticket requests for the Festival via the Ticketing Office
    • Assist with keeping media accreditation database updated
  • Assist in tracking and archiving of media coverage
    • Assist in briefing media monitoring company on upcoming broadcast interviews
    • Clip newsletter inserts for each designated sponsor
  • Assist with the coordination of press events and campaigns
  • Assist the PR team in arranging radio interviews leading up to the Festival (with the possibility of interview requests arising during the Festival as well)


Post-festival Tasks

  • Assist with archiving PR materials and analytics for internal, sponsor, and marketing reports
  • Participate in post-festival wrap-up tasks, debriefs, and documentation


Required Skills & Qualifications

  • Diploma or degree (completed or in progress) in PR, Journalism, Marketing, Communication, or a related discipline
  • Strong writing and verbal communication skills in Afrikaans and English
    • Attention to detail with exceptional spelling and grammar abilities
    • Write and communicate with both a creative and professional tone, depending on the context and scenario
  • The ability to manage multiple tasks and to meet deadlines
  • Proficiency in Microsoft Office and / or Google Workspace
  • Experience working on WordPress or a similar website platform, or be willing to learn
