Hospitality & Events Coordinator

Place: Stellenbosch, South Africa

Term: 7-month fixed-term contract: Part-time (months 1 – 3) / Full-time (months 4 – 7)

Report to: Sponsorship & Brand Manager

About the Role

The Toyota Stellenbosch Woordfees is looking for a dynamic, highly organised and service-oriented Hospitality and Events Coordinator. The successful candidate will be the guardian of the festival brand at interaction with guests, from high-profile gala events like the Langtafel (Long Table) and Woordtrofees Awards, to intimate sponsors gatherings and VIP hospitality lounges.

You will be responsible for the full hospitality experience and journey: from strategic budget planning and invitation management to on-the-ground operational execution during the festival.

  • Strategic planning: Develop and manage a master hospitality schedule, including logistics, supplier coordination, and venue setup.
  • Budget management: Full management and reconciliation of the Hospitality and Events budget.
  • Events Execution: Lead the planning and hosting of main festival events (Programme Launch, Langtafel and Woordtrofees), as well as smaller functions and lifestyle events during the festival.
  • VIP management: Manage the VIP hospitality lounge, including catering logistics and personalised guest services.
  • Stakeholder coordination: Act as the primary liaison between internal departments (Marketing, Logistics, Programme, Technical) and external service providers (event coordinators, rental companies, catering, technical suppliers, and artists).
  • Stock & inventory: Manage sponsored stock (wine, beverages) and ensure brand visibility requirements are met.
  • Education: A degree or diploma in Hospitality Management, Event Management, PR, or a related field.
  • Experience: Minimum of 2 to 3 years in event management (experience in the arts, wine, or corporate sector will count in your favour).
  • Language: Fully bilingual in Afrikaans and English (essential for communication with stakeholders and guests).
  • Skills: Strong administrative skills (MS Office, especially Excel). Ability to follow complex schedules and problem-solving skills.
  • Attributes: High emotional intelligence, the ability to work under pressure, and a fine eye for detail.
  • Logistics: Valid driver’s license and own reliable transport.
